Control Author access to Folders

Folder access controls which Authors can open a Project Folder and work with the Editions inside it. Use it to keep teams focused on their own campaigns, protect sensitive Broadcasts, and give partners or agencies a limited view of just the work that concerns them.

Before you begin

  • You need an administrator role with permission to manage users and Folders.
  • Know which Authors (or groups, if your account uses them) should have access, and what level: view, edit, or full control.
  • Confirm the Folder already exists. Create it first if it does not.
  • Note that access is set per Folder — Editions inherit the permissions of the Folder they live in (confirm the exact inheritance behavior in your account).

Steps

  1. Open the account or admin area and go to the Folder management section.
  2. Select the Project Folder you want to control access to.
  3. Open its access, sharing, or permissions settings (confirm the exact label in your account).
  4. Add the Authors (or groups) who should have access, or remove those who should not.
  5. Choose an access level for each — typically view-only, edit, or manage.
  6. Save your changes. Repeat for any related Folders you also want to restrict.

Result

The Authors you granted access to can now see the Folder and its Editions and act within their assigned level. Authors without access no longer see the Folder in their workspace. To verify, sign in as (or ask) an affected Author and confirm they see only the Folders they should.
