Set up Post approvals

Post approvals add a review-and-sign-off step so a Post can't go live on your microsite until a designated reviewer approves it. This is useful when several Authors contribute content but a smaller group is responsible for what publishes.

Before you begin

  • You need permission to manage approval settings for the microsite or Post workspace. If you don't see the option, ask your account admin (confirm the exact steps in your account).
  • Decide who your reviewers are and, ideally, set up an approver group so you can manage membership in one place.
  • Confirm reviewers have accounts and can sign in (SSO or Microsoft Entra ID, depending on your setup).

Steps

  1. Open the microsite or workspace that holds the Posts, then go to its approval or workflow settings.
  2. Turn on the require-approval option for Posts. This puts new and edited Posts into a pending state instead of publishing immediately.
  3. Assign one or more reviewers (or an approver group). Choose whether any one reviewer can approve or whether all must sign off (confirm the exact steps in your account).
  4. Optionally set who is notified when a Post is submitted, and add an instruction note telling Authors what to check before submitting.
  5. Save the settings and submit a test Post to confirm it enters the pending state.

Result

New Posts now stay in a pending state until a reviewer approves them. Authors submit for review, reviewers approve or send back with comments, and only approved Posts publish to the live microsite.
